Workflow Assessment

Know what to improve first, and what to leave alone.

A fixed-fee consulting engagement that turns operational friction into a clear, evidence-based set of priorities.

Apply for an Assessment

Who it is for

When the symptoms are visible, but the right intervention is not.

The full Assessment fits when:

  • Several processes interact or share the same information.
  • The underlying cause of delays or errors is unclear.
  • You need to compare multiple improvement opportunities.
  • A change will affect customers, employees or important decisions.
  • You need an implementation roadmap, not another tool recommendation.

The engagement

Understand. Compare. Decide.

The Assessment is deliberately technology-neutral. We examine the work before recommending a system. It may conclude that no further work is needed, or that the evidence warrants a separately scoped implementation.

  1. 01

    Prepare

We agree the scope, gather context and identify the workflows that deserve attention.

  2. 02

    Examine

Jacques maps the current work, handoffs, exceptions, failure points and human review decisions.

  3. 03

    Evaluate

Each opportunity is scored for time, financial impact, errors, customer impact, team friction and effort.

  4. 04

    Review

You receive a decision session and a practical roadmap of what to do first, what to defer, and why. When the evidence says so, that includes the honest recommendation to change nothing yet.

What you receive

A decision tool, not a shelf report.

Every deliverable is designed to support a real operational decision and a responsible implementation path.

01
Current-state workflow mapsHow work moves today, including handoffs, exceptions and human decisions.
02
Prioritised opportunity registerBusiness impact, human impact, risk and implementation effort considered together.
03
Recommended future stateWhat technology should handle and where people must remain in control.
04
Decision summary and roadmapWhat to do first, what to defer, what not to automate and why.

Illustrative report extract

Business impact and human impact belong in the same decision.

The example below shows how recommendations are framed. It is illustrative, not a client result.

Pricing

A defined engagement with a fixed fee agreed in advance.

Each Assessment is delivered at a fixed fee of R18,000. That includes the research, mapping, evaluation and the final decision roadmap.

Start your application by email

Applications are usually reviewed within one business day.

If the button does not open your email app, write to hello@precisionworkflows.co.za and cover the points listed here.

What to include

  1. 01
About your businessWhat you do and approximately how many people are involved.
  2. 02
Current challengesWhat consumes time, causes errors or slows customer service.
  3. 03
Existing systemsThe software and workarounds the team uses today.
  4. 04
What success looks likeThe outcome that would make the Assessment worthwhile.

If the Assessment is a good fit, you will receive scheduling and payment information by email. If another approach would provide better value, Jacques will say so before asking you to proceed.

A smaller starting point

Not ready for a full Assessment?

Choose Workflow Triage when you have one clearly defined workflow and need one practical recommendation.

Choose the full Assessment when several processes interact, the underlying problem is unclear, or you need to compare and prioritise multiple improvement opportunities.

Questions before you apply

Clear boundaries before the work begins.

Does the Assessment assume AI is the answer?

No. The recommendation may be a process change, better use of existing software, automation, AI, or the honest conclusion to change nothing yet.

Do you install AI?

Sometimes. More often the answer is a process change or a rule, because those are cheaper to run and easier to fix.

The order matters more than the tool: process change first, then rules-based automation, then AI with governance. If AI is genuinely right for your workflow we will say so, and we will say when it is not.

What do we actually end up with?

A document you can act from, not advice you have to remember.

Current state as observed. Baseline measures with their assumptions stated. Ownership by name. The exceptions. The controls. The business and human impact of the change. The recommended future state. Priorities in order. A definition of done. A decision summary.

Every finding is labelled Observed, Reported or Hypothesis, so you can see what was seen and what was inferred.

What determines the fee?

Nothing varies: the Assessment is a fixed-fee engagement of R18,000, agreed in writing before the work begins.

How long does the Assessment take?

The Assessment is normally completed within 10 business days after kickoff and receipt of all required access and information. Client-caused delays pause the clock. The actual delivery date is confirmed at kickoff.

Everyone says they can automate this. Why do you start so slowly?

Because an unclear process is expensive to automate and cheap to fix.

If nobody can say what “done” means, what the exceptions are, or who decides, then any tool you point at it has to guess. Guessing costs money whether a person is doing it or a machine is. Once the workflow is written down and measured, choosing between changing the process, automating it with rules, or using AI becomes a small decision instead of a gamble.

The slow part is not slow. It is the part that makes the fast part possible.

Where would our data go?

That is decided per workflow, not by preference.

What decides it: how sensitive the data is, what your contracts require, how good the security is on each side, what it costs to run, and whether it performs. For some workflows a managed cloud service is the right answer and we will say so. For others, keeping the data in the building is worth the effort of running it.

POPIA does not require processing to happen on your premises. It requires appropriate safeguards, written arrangements with whoever processes on your behalf, and conditions on sending data across borders. Anyone telling you that self-hosting is compliance is selling you something.

We run our own systems on our own hardware, so we know what that costs to maintain. That is our experience, not a claim about your business.

What if we want AI later?

Then you already hold the thing that makes it possible.

The specification says what the workflow does, who owns each step, what the exceptions are and what “done” looks like. That is most of what anyone needs in order to automate it, whichever way you go and whoever does the work.

Handing the work to AI needs more on top: real examples of what goes in and what should come out, a set of cases to test it against, how wrong it is allowed to be before someone steps in, and the rule for when it must stop and ask a person. That is quoted separately, and only when the evidence supports it.

Should we wait until AI gets better?

AI will get better. Your process will not, on its own.

Better AI can paper over a confused workflow, at a price, and it will still make the same wrong decision your process makes, only faster. Sorting out the workflow pays whether or not you ever automate it, and it is what makes the cheaper option possible when you do.

What happens after the Assessment?

The evidence may show that no further work is needed. Otherwise, you can act on the roadmap internally, use another provider, or ask Precision Workflows for a separately scoped implementation proposal. There is no obligation to continue.

How quickly are applications reviewed?
